Asset Management

Asset Management enables the creation of technical asset records and maintenance tracking.

In addition to text fields, image carousels, videos, and links can be added.

Information can be organized into groups, but nested groups are not supported.

A login banner is displayed at the bottom of the public page, allowing authorized operators to access the maintenance form.

Important: Users must have the Perform Asset Profile Maintenance permission to record maintenance activities.

An Asset Profile contains three sections:

Basics​

Standard information common to all asset profiles:

  • Unique product code
  • Status (active, damaged, etc.)
  • Geographic location
  • Support number

General Information​

Contains asset-specific information such as:

  • Brand
  • Model
  • Instructions
  • Additional details

Each field can be configured as either:

  • Public: visible to anyone scanning the tag.
  • Private: visible only to authenticated users.

Maintenance Form​

Defines the fields operators must complete after maintenance.

For each field you can configure:

  • Whether it is mandatory or optional.
  • Whether it is publicly visible.

Public maintenance fields display values from the most recent maintenance report.

If a field is empty in the latest report, it is not displayed publicly.

This is a paid feature available through Addons.

Each account includes one Asset Profile for evaluation purposes.

If the subscription is cancelled, excess Asset Profiles are disabled starting from the most recently created. Reactivating the subscription restores access.

Adding a Maintenance Operator​

To invite a maintenance operator:

  1. Go to Settings → Manage Users and Roles → Roles.
  2. Create a dedicated role.
  3. Set all permissions to denied by default.
  4. Enable only Perform Asset Profile Maintenance.
  5. Save the role.
  6. Open the Invites tab.
  7. Select the newly created role.
  8. Enter the operator's email address.

The operator receives an invitation email to register as an internal user with the permissions defined by the assigned role.

Roles and permissions can be updated at any time with immediate effect.
