ASSET MANAGEMENT

Keep asset information and maintenance connected

Give each physical asset a digital profile, control what visitors can see, and let authorized operators record maintenance in the field.

An Asset Profile represents a physical asset in TagLink. It can contain technical information, status, images, videos, links, and maintenance information. Its public page opens when the associated Tag is scanned.

How is an Asset Profile structured?

SectionPurposeExamples
BasicsCore information common to Asset ProfilesUnique product code, status, geographic location, support number
General InformationDetails specific to the assetBrand, model, instructions, other details
Maintenance FormFields operators complete when recording maintenanceRequired or optional values, with configurable public visibility

Information can be organized into groups, but groups cannot be nested.

Public information and operator access

The public Asset Profile can display fields configured as Public. Private General Information fields are visible only to authenticated users. Public values from the most recent maintenance report may also appear on the page, depending on the field settings.

A login banner at the bottom of the public page lets an operator authenticate. Authentication alone is not enough to record maintenance: the user must also have the Perform Asset Profile Maintenance permission.

Control who can record maintenance

Visitors can view the information made public. Only authenticated users with the maintenance permission can open and submit the Maintenance Form.

Configure maintenance fields

For each Maintenance Form field, choose whether it is mandatory or optional and whether its value is publicly visible.

Public maintenance fields show values from the latest maintenance report. If a public field is empty in that latest report, it is not shown on the public page.

Typical maintenance workflow

  1. The operator opens the Asset Profile and uses the login banner.
  2. TagLink checks the operator's Perform Asset Profile Maintenance permission.
  3. If authorized, the operator completes the Maintenance Form.
  4. The maintenance activity is recorded.
  5. Public maintenance values reflect the latest report according to the field settings.

Add a maintenance operator

For a role dedicated only to recording maintenance:

  1. Go to Settings → Manage Users and Roles → Roles.
  2. Create a role with permissions Denied by default.
  3. Enable only Perform Asset Profile Maintenance and save the role.
  4. Open Invites, select that role, and enter the operator's email address.

The invited operator can register as an internal user with the assigned role. Changes to roles and permissions take effect immediately.

Availability and profile limits

Asset Management is a paid Addon. Each account includes one Asset Profile for evaluation. The active Addon determines how many Asset Profiles are available; see Addons.

If the available capacity falls below the number of profiles in the account, excess profiles are disabled starting with the most recently created. When the required capacity is active again, those profiles become accessible without being recreated.
